Ce poste de Finance Assistant (Assistant Financier) au sein du bureau de Sightsavers à Lusaka, en Zambie, vise à soutenir le Finance and Support Services Manager (FSSM) dans la planification, la budgétisation, le reporting et la gestion de l'information au quotidien, en collaboration avec les équipes nationales, régionales et globales. Les missions principales incluent l'analyse des factures, la préparation des bons de paiement et des chèques pour approbation, le traitement des paiements aux fournisseurs, ainsi que la participation à l'élaboration de nouveaux documents de projet et aux processus de conception du bureau pays, y compris la préparation des budgets et prévisions. Le titulaire devra également administrer les fonds du bureau, veiller à ce que toutes les dépenses soient dûment autorisées et appuyées par des reçus, traiter les pièces comptables et les journaux dans le système SUN pour validation et intégration au grand livre, classer les dossiers comptables, gérer les avances de voyage, soumettre des rapports trimestriels précis au FSSM, appuyer le personnel programme dans le suivi des activités et des demandes de fonds mensuelles, et assurer le suivi des transferts de fonds aux partenaires. Il contribuera également au suivi des flux de trésorerie, aux demandes de fonds mensuelles, à la préparation des audits externes annuels et à la mise en œuvre des recommandations d'audit.

Le profil recherché comprend une qualification comptable professionnelle ou un diplôme en finance/comptabilité ou une expérience équivalente, une expérience en finance de programme au sein d'une ONG, un parcours en audit, une expérience de travail avec des organisations gouvernementales, des compétences en gestion financière, en gestion de programme/projet et en administration, la maîtrise de l'analyse budgétaire et des données, d'excellentes compétences en communication orale et écrite, et la capacité à travailler avec un minimum de supervision.

Les conditions proposées sont un contrat à durée déterminée de 12 mois renouvelable, à temps plein (35 heures par semaine), basé à Lusaka, avec des conditions locales applicables. Responsibilities

About the role

Sightsavers Zambia office are currently seeking a Finance Assistant to support the Finance and Support Services Manager (FSSM) in planning, budgeting, reporting, and information management on a day-to-day basis, while also working collaboratively with other relevant teams in the country office (CO), across the region, and globally.

As the Finance Assistant you will analyse all invoices, prepare payment vouchers and cheques for approval. You will also process payments to Suppliers, assist the development of new project documents, and participate in CO Design Processes including the preparation of budgets and forecasts for CO.

Further duties include:

  • Administers funds under CO including but not limited to day-to-day funds management and ensures that all payments are duly authorized, checked, and supported with appropriate receipts and signatures.
  • Processing of vouchers and journals into the SUN system on a regular basis for validation and posting into the general ledger.
  • Regularly file all accounting and financial records in the appropriate folders to facilitate easy reference and retrieval.
  • Work with Country office staff to retire travel advances in accordance with Sightsavers policies and procedures.
  • Submit accurate quarterly reports for projects to FSSM.
  • Provide support to Programme staff in reviewing budget during activities and preparing the monthly funds request.
  • Ensure the follow up of funds transfer to partners for the monthly checklist.
  • Track country office cashflows and prepare and submit timely and accurate monthly Funds Request.
  • Support FSSM in the preparations for annual external audits and provision of information requested by auditors during both interim and year-end audit.
  • Support the FSSM and Country Director with the implementation of internal and external audit recommendations as required.

Skills and Experience

As the ideal candidate you will hold a professional accounting qualification, or degree in Finance/Accounting, or have equivalent experience. You will possess programme finance experience within an NGO and have a background in auditing.

Required experience and knowledge also include;

  • Experience of working with Government organisations.
  • Experience in financial management, programme/project management and administration.
  • Project financial management, budget and data analysis skills.
  • Excellent communication skills (both oral & written).
  • Ability to work with minimum supervision.
